Setting Up Your POP or IMAP Email Address in Microsoft Outlook

This tutorial shows you how to set up Microsoft Outlook 2003® to work with your e-mail account. This tutorial focuses on setting up Microsoft Outlook 2003, but these settings are similar in other versions of Microsoft Outlook. You can set up previous versions of Microsoft Outlook by using the settings in this tutorial.

To Set Up Your E-mail Account in Microsoft Outlook

In Microsoft Outlook, from the E-mail Accounts menu, select Tools.

On the E-mail Accounts wizard window, select Add a new e-mail account, and then click Next.

For your server type, select POP3 or IMAP, and then click Next.

On the Internet E-mail Settings (POP3/IMAP) window, enter your information as follows:

Your Name
Your first and last name.

E-mail Address
Your email address.

User Name
Your email address, again.

Password
Your email account password.

Incoming mail server (POP3)
POP, Pop.secureserver.net or IMAP, imap.secureserver.net.

Outgoing mail server (SMTP)
Smtpout.secureserver.net
Click More Settings.

NOTE: “smtpout.secureserver.net” is an SMTP relay server. In order to use this server to send e-mails, you must first activate SMTP relay on your e-mail account. Log on to your Manage Email Accounts page to set up SMTP relay. If you do not have SMTP relay set up and your Internet Service Provider (ISP) allows it, you can use the outgoing mail server for your Internet Service Provider. Contact your Internet Service Provider to get this setting.

On the Internet E-mail Settings window, go to the Outgoing Server tab.

Select My outgoing server (SMTP) requires authentication.

This article explains how to setup Outlook 2010 for email synchronization. You will be guided through modifying your existing accounts (if you have any) and configuring Outlook 2010 to synchronize with Gmail.

At this point you should have completed the setup of Gmail for email synchronization.

Did you know you can synchronize your Outlook 2010 email on multiple computers? Automatically? And without an expensive Exchange Server?

See how the brilliantly simple Easy-Email solution will simplify your life by watching the quick video at synchronize Outlook.

At the end of the article you will find references to more information which is relevant for working with Outlook 2010 and Easy-Email.

Important! If you have not done so already please read the article “Naughty Outlook”.

Important! Backup your emails before you start! Easy-Email does not accept responsibility for any data loss under any circumstance.

Modify existing accounts (POP)

If you already have email accounts setup in Outlook 2010 we need to ensure they leave new email in the mailbox on the mail server for one day.

Gmail is also downloading email from the same mailbox, so Outlook 2010 will have to leave the email on the mail server long enough for Gmail to get hold of a copy too. Gmail automatically checks your mailboxes for new mail once every hour. If a new email arrives in your mailbox and Outlook 2010 downloads and removes the email from the mailbox before Gmail gets to it you will not see that email in Gmail and it will not be synchronized with your other email clients.

This modification does not change the way your current email setup works.

Do the following for each Outlook 2010 account that downloads email from a mailbox:

Note! Click on the images to see a larger version.

Go to File → Account Settings → Account Settings…

Select your existing email account.
Click Change.

Click More settings…

Go to the Advanced tab.
Check Leave a copy of messages on the server.
Check Remove from server after 14 days.
Make sure emails are left on the server for a minimum of 1 day.
1 day is more than sufficient for Gmail to pick up new emails.
The default of 14 days is fine.
Click OK.

To close the account settings window again:
Untick Test Account Settings by clicking the Next button.
Click Next.
Click Finish.
Click Close.

Create a new email account in Outlook 2010 to access Gmail

Gmail will now pick up your email for you. This step tells Outlook to synchronize with Gmail so you can download copies of your emails.

Note! If you have more than one email address work with the email address you use most often in this section. For John Doe this is JohnDoe@pogo-card.com. Setting up multiple email addresses is explained in the Advanced guides.

Draft emails are stored in the local folder on the computer – not the Gmail drafts folder. This is due to a limitation in Outlook. This means you cannot start an email in another client and finish it in Outlook or vice versa.

When assessing a companies website there are a number of things you need to understand before you can even think about the design.

Site goals

The most important question is what would be counted as a success for the website and therefore the goals. Unless you thoroughly understand this part, the efforts you put into design and build could end up being wasted.

The normal goals for a website are:

Raise awareness for the company (eg. SEO rankings, blogs, social networking)

Increase sales

Bring in new business

Promote a product or event

… the bottom line is usually make more money for the client

When the items above have been discussed you can then start thinking the best way to achieve those goals.

The project process

Developing a website can take different stages with the most common listed below:

1. Budget discussions

2. Formulating the Brief

3. Preparation

4. Creativity

5. Beta development and testing

6. On-going Support

Stage 1 – Budget discussions

Often the most difficult part of the project is working out the budget that will give good value-for-money. Spending less in the early stages can often be a false economy when you wish to expand the site at a later date.

Stage 2 – Formulating the brief

The initial processes in designing a successful website are the most important and involve the discernment of what you perceive are your business aspirations. Firstly you should seek to amass information to formulate the brief. This will involve a firm understanding of how your website can assist with your business aims. It is vital that Zoo Design begin by asking the relevant questions in order to assist us to understand your requirements for the website.

There are certain things to take into account as discussed in stage 1:

Purpose of your site

Aims for the site you are creating

Target audience e.g. the people you wish to encourage to visit the website

Stage 3 – Preparation

Once sufficient information has been assimilated, it now falls to piece together your ideas for your website. A site map will now be developed. In this initial planning stage we will develop a site-structured document and we will also assist you in deciding the technology that should be implemented which could include components like ecommerce, flash and interactive forms.

Stage 4 – Creativity

From the information collected, it’s now time to determine the style and texture of your site. Your target audience are crucial factors and may differ in their requirements; from young people, to business-to-business as well as companies seeking to create their own corporate identity. We will create one or more designs for your prospective website. Typically, these would feature a flat visual of how the final design could appear. From approved visual designs we will develop several HTML pages on a hidden server for clients to view. At all stages you will have the opportunity to comment on the ongoing project development.

Stage 5 – Development

From approval at HTML stage creativity, we will then begin development work; this will include:

Creative elements

Navigation

Functional style

Interactive content

Contact forms

E-commerce shopping carts

Check validation for XHTML / CSS code

Accessibilty

Stage 6 – Beta testing and delivery

As part of the Beta testing process we will ensure that the functionality of forms, scripts, cross-browser checking, compatibility issues and W3 compliance standards. Upon approval the site will be uploaded to the web hosting provider and once again tested for interaction and communications requirements.
*might need to add CMS Man. system

Stage 7 – Ongoing Support

Development of the site should be an ongoing process. This should include SEO (Search Engine Optimisation) and SES (Site Engineering Submission) which will assist in providing site visitors and tracking them through the website. This information can be used to modify and update the site to help improve visitor traffic.
How to select the correct design company for your needs
It may be tempting to use a cheap solution. There are many unprofessional companies in the marketplace; they offer what often turns out to be a substandard service.

Basic steps to getting into the world of video podcasting?

Have some home movies that you want the world to see? Want to market a product? Are you an unabashed exhibitionist? YouTube is your place.

The instructions below are a guide to how to generate the right type of video and upload to YouTube. There is a lot more that can be done to help to get more feedback from your video and marketing, but can not be covered in this short article.

To get yourself started you will need a device for creating the video, a means for transferring to YouTube and a YouTube account.

The simple steps to getting your video onto YouTube:

Come up with an idea… This could be anything really! Just making sure its entertaining and interesting. Try to aim for a particular audience. Make sure you don’t violate the Youtube Terms of Service. Also it can’t be more than 15 minutes long unless you are a partner with Youtube.

Make a movie using a digital camera, web cam, or cell phone. An old VHS will only work if you transfer it to a digital file-you’ll need a digital converter to plug an older camcorder into the computer. You can upload a YouTube movie directly from a phone if you set up a Mobile Profile in YouTube. With a high speed connection, it should generally take a few minutes, give or take.

Edit your movie. Programs such as Mac’s iMovie or Windows’ MovieMaker are both good-add titles, effects, cut out a bad take, etc.

Resize the video so it looks best in YouTube. The site will accept QuickTime .MOV, Windows .AVI, or .MPG files at different resolution. We have found the following settings give the best results.
Video Format: H.264, MPEG-2 or MPEG-4 preferred
Aspect Ratio: Native aspect ratio without letterboxing (examples: 4:3, 16:9)
Resolution: 640×360 (16:9 – will fill standard YouTube video play area) or 480×360 (4:3- will leave black areas right and left)
Audio Format: MP3 or AAC preferred
Frames per second: 30
Maximum length: 10 minutes (we recommend 2-3 minutes)
Maximum file size: 1 GB

Create a YouTube account or Log in to your existing account. Click on Upload Videos in the upper right corner of the home page. It will take time, after it uploads it has to go through tests to check for screamers and whatnot. Once it’s done with that, congratulate yourself on your first YouTube video!

Create an appropriate title, description, tags, category, and set language. The more information the better to help people find the video.

Make sure your video is YouTube appropriate. You can not upload videos that contain anything that would be considered offensive in the modern world such as sexually explicit content, graphic violence, copyrighted material, etc.

Advertise! Post video responses and comments on other popular YouTube videos.

Here is an example of an uploaded YouTube video by Zoo Design for Take Cover Skin System:

General comment:
Try not to make the video too long, because this just means that you’ll have less ratings and comments. This also means it will take much longer to upload and process. *If it is an video log, be sure to make it interesting, unless it’s just for family/friends. If it’s public, it will most likely get bad ratings and comments if it’s boring, or if it’s about something people don’t find interesting. *Put tags that are related to the video and be sure to put in all the words to help people find your video, or you will not get very much views. *Make sure you choose a compatible video format. Pay a visit to the YouTube help center to see what formats are compatible.

As an entrepreneur or business owner of any sort, you will spend a whole lot of time working on making your business as successful as possible. Starting you own business is hard, and businesses have a high rate of failure, but the rewards can be tremendous.

There are quite a few details or aspects that you must pay careful attention to in order to have a continuously profitable business, so it isn’t exactly easy to keep yourself focused on the right thing. As a small business owner you will wear a lot of different hats, and this is needed, but the key is to wear the correct hat that proper time. This means that you need to always be aware of what you are spending your time on and asking yourself if that is the best use of this precious commodity at this time.

From advertising and promotion tactics, to the inner structure of your business and employee/managerial training and preparation, every decision or plan you make will ultimately determine how your business will turn out. By familiarizing yourself with all of the thought that goes into running your business successfully, you will be much less likely to make any crucial mistakes and the state of your business will almost always improve.

The first thing that you need to work on in a business is it’s structure and base. If your employees are not all on the “same page” so to speak, failure will be something that will only take a matter of time. Not only do you have to educate your employees as to how they should behave and what decisions they should make, you also must teach them exactly why they are supposed to behave in such a way. By giving your employees and managerial staff insight into the reasoning behind your decision making, you create a stronger bond and increase the chances of them doing good by your business.

After years of managing people I have come to the conclusion that people really do want to do a good job most of the time. They just don’t know what to do. If you can train them to do the right thing that is the first step. But, more importantly, by explaining the rationale behind actions they will learn what needs to be done in each new situation. This becomes very powerful for your organization as it grows. You just can not train for every little possibility. Instead, teach them how to make the right decisions on their own.

You employees can also be a big benefit when it comes to keeping you enterprise running smoothly and growing. They are the ones who are in the trenches and they often times have great ideas for improvement. Don’t hesitate to ask the opinion of these experts as they deal with the situations every day. If you are unsure about a particular market, or seem to be having problems in your current situation, your employees and managers are always the best place to start.

Advertisement or marketing of some sort is necessary regardless of what services or products you provide. Without informing your potential customer base of what you currently offer, you will have to rely solely on your location to bring you customers. Depending on where you are currently located and what services you offer, the type of advertisement that will be most effective can vary quite a bit. If you offer food or something that can be found in many places, directly advertising to surrounding residential and commercial customers will be most effective because of your current location.

If your services or products are rare or hard to come across, or they are something that can easily be shipped, then using advertisement techniques of a larger scale will undoubtedly be the best bet for you. If you don’t have much money to put towards your marketing campaign, consider making small investments such as newspaper ads or even hiring people to pass out flyers for local businesses and if you are marketing goods or services that can be used everywhere, then spend as much time as possible learning Online Business techniques. The Internet is the most important marketing tool that has ever been found and the business opportunities it provides are absolutely endless.

As an owner of any business, you have to be able to pay attention to every aspect of your store or venue all at once. Neglecting any single area of your service will often times spell the demise of many other areas that might not have even seemed to relate. Keep an eye out for any problems that might arise early and eliminate them as soon as possible – letting a small issue go unnoticed for any amount of time can create a much larger problem that you will regret for many years to come.

The biggest failure in small business owners is not realizing that they are no longer a hands on worker and now need to devote their time to actually running the business. This is two different skill sets. If you start a business and then do the work yourself, like a mechanic who opens an auto repair shop and then does all the repairs, then you have only bought yourself a job. You will have no chance of scaling that business up because you will have to do all the work. Instead, you need to think like a manager and develop employees who can do the hands on tasks so you can actually run the business.

The website was to be built in stages and as more work was coming in then the site will be updated. Stage one was to create a single page that represented the company and gave a clear understanding of the services they had to offer.

Zoo Design was asked to take a look at the identity, website and promotional items including rill-up banner. The client had a clear objective to what they wanted to look like and key message, it was our job then to make this reality.

When I came in to see Zoo Design I was not sure if I could get across what I wanted to achieve for my company. It did not take long to realise that they could deliver what I wanted, with a great design look and implementation. They exceeded my hopes and completed the work on time and in agreed budgets, I recommend them thoroughly.
